The Maximizing Options to Advance Informed Choice for HIV Prevention (MOSAIC) Project is a five-year global project funded by the U.S. President's Emergency Plan for AIDS Relief (PEPFAR) through the U.S. Agency for International Development (USAID) to help women prevent HIV by accelerating introduction and scale-up of new and emerging biomedical prevention products. MOSAIC works globally. The MOSAIC Project Administrative Associate will be responsible for efficient management of assets, equipment, vehicles, and provision of support to program staff, will also support other administrative tasks, like answering phone calls, distributing mail. She/he is responsible for ensuring transparency and accountability at all levels in all areas of procurement and logistics management.
Key Functions
• Procurement Work with in-country Procurement team to coordinate procurement for MOSAIC
• Prepare procurement requests and bids for MOSAIC in-country procurements Assist with consultant hiring including maintaining database for all consultant documents, ensuring the documents received are correct and payments are made to all incountry consultants Operations
• Maintain up-to-date asset inventory log per USAID requirements Liaise with the Finance Officer to ensure that vehicles and assets are properly insured and licensed, and repair, replacement and disposal of all office supplies, utilities, equipment, and assets are done according to approved procedures Assist with preparation of MOUs with stakeholders including compliance Serve as liaison with landlords, maintenance, and security services and related vendors for project office space Other
• Organize meetings and special events, as requested, including identifying sites, planning menus, preparing invitations, answering questions, assisting guests at the event, etc. Assist in organizing project staff meetings and internal workshops Take notes at meetings, as requested Processes staff travel expense forms Responds to staff requests for administrative support as needed
• Carry out any other administrative duties as may be assigned
Education/Experience Requirements
• Associates Degree or International Equivalent in Business Administration, Bachelor's Degree in Business Administration from a recognized University preferred
• Three years or more of office administration
• Experience
• Experience working on USAID-funded projects preferred Ability to maintain a variety of records, such as inventories of supplies and materials, prepare correspondence, forms, and reports Ability to provide excellent administrative and customer service duties, including telephone coverage, ordering office supplies, maintaining office equipment
• Excellent interpersonal and communication skills including courteousness, tactful, and clear oral and written communications Proven ability to work independently and be self-motivated; also work cooperatively and effectively with other Divisions, Departments/ Country Offices, and all stakeholders Strong organizational and time management skills; ability to prioritize tasks and adjust as needed Ability to simultaneously support a team of professionals Computer literacy in MS Office applications including Word, Excel, Power Point, Outlook, SharePoint/Teams
